Because we have these policies listed everywhere possible, we have a zero tolerance for these guidelines not being followed.

LED WINDOWS


LED WINDOWS ARE FRAGILE. RENTER AGREES: NO KIDS PLAYING IN CURTAINS, FOLLOW ATTACHED INSTRUCTIONS & POLICIES. DAMAGE TO THE LIGHT WALL REQUIRES FULL REPLACEMENT. TURN OFF LIGHT WALL BEFORE DEPARTURE.

Studio Policies: Reschedules, Cancellations, and Studio Rules


We want to ensure that all of our clients have a smooth experience with our studio rentals. Please read through our policies carefully so that expectations are clear.


Cancelling or Changing Your Reservation


You can change or cancel your Studio reservation with no additional charge up to 7 days before your reservation. To do so, contact us at create@wildoakstudio.co or access your original reservation to reschedule or cancel. Reaching out when you are on day 7 before your session will still incur the fee. You should get an email that reminds you to reschedule if needed 8 days before where you can do that through the link provided.


Upon cancellation or reschedule, you will receive a credit for the dollar amount spent that can be applied toward a future rental. Your credit will expire 60 days from the date of the original reservation.


Example: Your session is on a Friday the 13th, you would need to reschedule by Friday the 6th to not have a fee.


After the 7-day window, a reschedule fee will apply:


  • $25 per hour booked (e.g., one hour is $25, two hours is $50).
  • $15 for half-hour bookings.



Please note:


  • No credits will be given for unused time. For example, if you book the studio for mini sessions and they don’t all fill up, no credits will be issued.
  • We are not responsible for last-minute cancellations by your clients. No credit will be issued for same-day cancellations. By the photographer, clients of photographers, or other third parties.



If you'd like to reschedule after the 7-day window, please fill out the reschedule request form below or in the main menu. The reschedule fee will apply as outlined above.


Reschedule Code Policy


Each booking is eligible for one reschedule code. Once a reschedule code has been used, no further codes will be issued for that booking, and any additional changes will require a new booking at the current rate. Reschedule codes are only valid for 60 days. This means the booking must take place within the 60 days from getting your code.


Emergencies will be evaluated on a case-by-case basis. Emergencies do not include illnesses such as the flu or stomach bugs, missing flights, or similar situations.


If the set is damaged during your rental time you will be responsible for the FULL replacement cost. This means taking pieces off the set, moving the set, etc. Including the cost of any vendor time and material to repair damages or reset configurations.


Studio Rules


To maintain the quality of our studio for all renters, we have a few firm rules:


  • No props may leave Studio C.
  • No pets are allowed in Studio C for any reason. Pets are not allowed on the furniture or rugs in Studio A and we do not allow pets in Studio B
  • No Cake smashes in Studio B
  • No food or drink is permitted in any of the spaces except for water.
  • Do not remove command strips from the walls that we have placed.
  • Not putting the studio how it belongs will result in a re-design fee of $85
  • Not locking the front door will result in a fee
  • Using a studio you did not rent "even for just a minute" will result in a charge for a full hour in that space.
  • Not cleaning up all the icing from a cake smash will result in an additional cleaning fee of $100 - this means you need to get low and look at all angles of the floor to make sure your mopping job was done well, so check it after it dries. Even If you mop, double check your work.
  • Changing in the kitchen will result in a $55 fee (I can't believe we even have to say this, there ARE cameras in there!)
  • No Open flames
  • No wheeled items, such as roller blades, skateboards, scooters, or similar equipment, are allowed in the studio. Wheelchairs and any mobility supporting devices for disabled persons are, of course, welcome and exempt from this rule.
  • No glitter of any kind, this includes on clothing.
  • Do not hang anything on the walls for any reason (unless its on the provided hook) - no tape of any kind.
  • No jumping on beds
  • No shoes on beds
  • Do not change babies on the furniture or rugs - we have three changing tables through out the spaces.
  • Diapers left behind will result in a $25 fee.



If props are damaged during your booking, you will be charged the full replacement cost of the item. This policy applies to all bookings, including pop-up sets.


We Are a No-Refund Studio


We are firm on this policy. Please ensure you understand all our guidelines before booking to avoid any misunderstandings.

Holiday Sets are in Studio A only!

Diaper & Food Trash


Diaper and food trash go in the outside trash cans.

Pets have a fee.


Dogs only, there is a fee PER pet.

Boudoir


IS allowed with the strict rule of no full nudity.

Wild Oak Studio Breakdown of Fees



  1. Reschedule Fee: $25 per hour booked, $15 for half-hour bookings.
  2. Unapproved Overtime: $55 for staying past your time without approval.
  3. Wrong Studio Use: Full hourly rate if using a studio not booked.
  4. Front Door Not Locked: $30 fee.
  5. Re-Design Fee: $85 for not restoring the studio to its original condition. If repairs or re-installation are needed, you’ll be responsible for the full cost, including labor and materials.
  6. Cake Smash Cleaning Fee: $100 if not thoroughly cleaned.
  7. Changing in Kitchen: $55 fee.
  8. Damage to Props/Sets: Full replacement cost, including vendor time and materials.
  9. Late Fee: $55 + $10 per minute if over time overlaps with another renter.
  10. Pet Fee: $15/pet - Dogs only - $55 ADDITIONAL FEE for not following the guidelines (not on furniture/rugs even when being held .etc)
  11. Cake Smash Fee: $15.00 - This is not a cleaning fee, it is so we can allow food in the space without needing a food permit.
  12. Damage to our LED Window: FULL REPLACEMENT COSTS
  13. Food & Drink in the Studio spaces (not water) - $55 - If we check the trash and it has food items in it from your session that will be an additional $25. This rule is in place to avoid pests.
  14. Entering the studio before your rental time without permission will result in a $10/min charge.
  15. Diapers left behind: $25.00 fee.
