Important Rental Informtaion

We know, it's a lot to read...but please don't skip this step!

We appreciate you reserving Wild Oak Studio for your special event. Below is a general overview of some of our policies and restrictions so we can ensure all renters have an enjoyable experience. All of the terms and conditions governing your use of the Studio and the other aspects of our business relationship are at the terms and conditions link below. The terms and conditions contain limitations on our liability and other important provisions allowing us to provide the Studios at the price we do. It is a legal document governing your reservation and rental of the Studio so some of the language is necessarily “legalese”, but we have tried to make it as readable as possible. Your rental time begins promptly at the designated starting time and ends promptly at the designated ending time. Reservation time must include set up, break-down, and clean up. The Studio must be cleaned and vacated by the end of the rental period to respect our fellow creative’s time and efforts. There is a $55 Fee for going over your rental time.

We are not responsible for renter booking the wrong studio, if you have questions please reach out ASAP. If you do book the wrong studio reach out and we will see if there is anything we can do. No refunds will be given.

If you go into another renters time, you will be charged $10 per minute you go into their time, there is no reason for this to happen and we have a zero tolerance policy for this.

If you need more time you are required to reach out to studio owners before your time has ended, you are not permitted to stay without first talking to a studio owner. If you stay over your time without communication there will be a $55 fee issued in addition to extra time spent in the studio. Please note, invoice for additional time must be paid within 24 hours of being sent, if invoice is not paid within 24 hours renter will not be able to book future appointments until outstanding balance is taken care of. 

Cancelling or Changing Your Reservation

You can change or cancel your Studio reservation with no additional charge at any time 14 days before your reservation is set to begin by contacting create@wildoakstudio.co of you can go to your original reservation and reschedule/cancel. Upon cancellation/reschedule, you will receive a credit the dollar amount spent that can be applied towards a future rental with us. Your credit will expire in 90 days from the date of the original reservation. 

Studio credits will not be given for time not utilized. Example: You book the studio for mini sessions and they do not all fill up. This is not a responsibility of the studio. We will not be giving credits for this. If you no-show to your appointments we will not be offering you a credit even with a rescheduling fee. You will need to book a time slot as normal through the website at full cost.

Wild Oak is not responsible for photographer's clients cancelling last Minute, we will not be issuing credits for this. 

If you would like to reschedule your reservation and it is after the 14 day mark, please reach out to us. There will be a reschedule fee of 25% of your booking applied to any credit we give you. If you are able to have someone book in your place, no fee will apply. You have until the day before your booking to have the spot filled and waive the fee. We will open the time slot, as long as it books the fee will be waived, you are only responsible for the fee if no one else fills that slot. 

Sickness & emergencies will be evaluated on a case by case basis. Please reach out to us if this applies to you. 



• All children must be supervised at all times. Damage done by unsupervised children will result in damages being paid in full. 

• Fireworks (including sparklers) are prohibited.

• Nails, tacks or staples may not be used in the walls or woodwork. If tape is used, it must be painter’s tape.

• Smoking is prohibited in the Studio and within 25 feet of all building entrances, exits, windows and air take vents. Projects involving smoke machines must have our approval prior to reserving the Studio.

• No illicit drug use is permitted, and the Studio reserves the right to terminate the reservation immediately without refund if such activity occurs.

• Music or other sound must not be audible beyond the walls, doors, and windows of the Studio.

Set up and breakdown times must fall within the total reservation period reserved. It is the responsibility of Renter and its vendors to set up, breakdown, and move equipment and other items within the Studio.

• Renter may not sublease the Studio to any third party.

• Company representatives may monitor all activities in the Studio and have the authority to enforce this Agreement. A Company representative may terminate the rental if Group breaches this Agreement or applicable local law.

  • No open flames are allowed, this includes birthday candles
  • Props are not to be moved in Studio B. This includes pampas, bed, rugs, bedside decor, drapery etc. - - Renter may move the couch or other furniture items to accommodate shoot but studio must look like the images in our studio guide before photographer/renter leaves. 
  • Water only in both studio Spaces, other food and beverages must be consumed in the break room - All food and drink trash must be disposed of in the outside trash cans before your departure.
  • It is required that you lock the front door before you leave, not doing so will result in a fee of $30.00

Boudoir Photography

Tasteful boudoir photography is permitted with our prior permission. Please reach out to create@wildoakstudio.co to discuss. Explicit sexual activity is strictly prohibited. Please keep in mind that the Studios have large windows to allow ample light in the space and, in some instances, are located in shared commercial buildings shared with other tenants. We also have a camera security system to ensure the safety of our guests. No full nudity is allowed.

Damage and Cleaning

You are responsible for any damage to the Studio including spills, scratches, excessive wear, marks or stains on furniture, fixtures, floors, or painted surfaces. The Studio and all furnishings and equipment therein must be left clean and in good condition, normal wear and tear excepted. Trash should be in trash cans, equipment returned to its proper place, and any larger trash disposed of in the outside dumpster. If the Studio is not in the same condition when rented, Renter agrees to pay, as applicable (i) a minimum of a $100 cleaning fee (based on the amount of time required to clean the Studio at a rate of $100 per hour); and (ii) the cost to repair and replace any damage done to the Studio and the furnishings and equipment therein caused the Group.

Once you access the Studio, if you feel there is damage to any of the furnishings, equipment, or Studio we should be aware of, please contact us immediately.

Wild Oak Studio is not responsible for any damage done to any third party vendor items participating during event rental time. 

Event Reservations

If you are booking an Event, please be sure to read the Event-specific terms and be sure to provide us with an insurance certificate 14 days prior to your Event.

Late fees:

The guest that books the space will be assessed a late fee. The late fee is calculated by how many minutes past the original reservation the guest or The Group associated with the event leaves the space. The rate is $10/minute every minute past the original reservation. The card on file will be charged the late fee the following day.
